At Central Saint Martins we have a hands on approach to teaching subjects such as jewellery design and product design, with lots of workshops which are often available for student to use on an open access or priority basis.

For example, a particular group of students might be given workshop priority on a particular day. Attendence wouldn't be compulsory, it would depend what each student was working on at that time. On the same day each member of that student group might have a half hour tutorial. Both events need to go in the student timetable. The quickest way to timetable this is to create an event for the whole student group for the optional workshop access, but this leads to clashes for the tutorials.

Is there any way of putting an event in as optional and therefore stopping that event being clash checked? As a last resort I can tell people to ignore the clash checking for that event, but that's a very bad habit to get people into.

Any suggestions very welcome

Hi Jenny,

At Plymouth College of Art we have exactly the same issue and as yet havent come up with the ideal solution however what I have trialled is adding an additional room on the timetable that is just for self study (ie T0.13b) I then will book a group in there and this indicates their priority.

We are also planning to use student level planning and so will add an event this year for self study and allow students to book into it up to a limit so say ten, so student names can be added to the event for a self study session. This then adds issues of students turning up but at least we know who they are.

This solves the issue of the clash checking but adds a duplicate room so isnt really great practice either.......

Would be good to know if anyone has solved this one?

Thanks for responding. Presumably your method solves the clash checking issue with the room, but not with the student group? I might add a Celcat feature request for a way to flag an event as optional and then to be able to choose whether to clash check optional events. But that might not be an immediate solution :-)
